Dear AORC and IGSRV members,

The 23^rd ICRAV is just around the corner and will commence in Hong Kong in two weeks’ time. Before you embark on your journey to Hong Kong, we would like to provide you with some important information:

Visit Visa

Hong Kong has a generous visa policy, offering visa-free entry to nationals of about 170 countries and territories.  For specific visa requirements based on your country of origin, please visit https://www.immd.gov.hk/eng/services/visas/visit-transit/visit-visa-entry-permit.html.

Traveller’s Essentials

To ensure a smooth and enjoyable stay in Hong Kong, we recommend visiting Travellers’ Information for essential information about Hong Kong, including details about the climate & weather, currency & foreign exchange, as well as electricity and voltage requirements.

Transport

The conference venue, Kerry Hotel, is 35 km away from the Hong Kong International Airport.  For those delegates who have booked airport transfer via Bonza Meetings and Events, our Event Manager, please contact the Event Manager at icrav2023@bonzameetings.com in case of any change to your flight schedule to ensure a smooth transfer.  For other delegates, please refer to the hotel website (https://www.shangri-la.com/hongkong/kerry/about/map-directions) for direction and transportation options to the hotel.

Social Programme

We invite you to explore the exciting social programme we have prepared for you.  Please visit Social Programme for details on Excursion Tour, Welcome Reception, Racemeeting (adult only) on Wednesday’s night, AORC & IGSRV Dinner, and Gala Dinner, including the dress code requirements.  The cost of these social events is already included in your registration, allowing all registered delegates and their accompanying persons (APs) to partake in these events.  Should you wish to make any changes to your selected events, kindly reach out to our dedicated Event Manager at icrav2023@bonzameetings.com for necessary updates and assistance.  Additionally, we offer AP tours throughout the conference, please visit the aforementioned website for more information, select your preferred tours, and make the bookings with the Event Manager via email or at the conference registration counter during the conference.  Furthermore, APs are welcome to attend the Opening Ceremony and the ICRAV Lecture, scheduled for the morning of 18 September 2023, if they are interested.

Dietary Requirements

If you or your APs have special dietary requirements that were not specifies in your registration, please contact the Event Manager as soon as possible so that appropriate arrangements can be made.

Official Mobile App – Whova

All registered delegates should have received the invitation email from the Event Manager to install the Whova app.  The app provides the full scientific programme, including presentation titles and the schedule. We highly recommend installing the app prior to the conference.  In order to encourage app usage, we will be awarding prizes of appreciation to the top three most-active users during the Gala Dinner.  If you encounter any technical difficulties, please contact the IT support team via email at ITSupport@bonzameetings.com or visit the conference registration counter for assistance.

Conference Registration Counter

Located at the lobby of the 1/F of Kerry Hotel, next to Front Desk, the conference registration counter will be operational from 15 September 2023, throughout the duration of the conference.  Our Event Manager will be available to assist you.

Business Meetings

Please note that all business meetings, including the AORC, IGSRV, and ICRAV opening and closing meetings, AORC regional meetings, AORC round table, and other scheduled committee meetings, are closed meetings for their respective council or committee members. Non-members must obtain prior approval from the respective meeting chair to attend.
